Hocking Hills Serenity Salt Cave, LLC., doing business as Hocking Hills Salt Cave (“Hocking Hills Salt Cave,” “we,” “us,” or “our”), respects the privacy of our website visitors, guests, customers, members, subscribers, employment applicants, and other individuals who interact with us.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when individuals:

  • Schedule or manage an appointment;

  • Purchase a service, membership, package, gift certificate, or product;

  • Submit a contact request, inquiry, employment application, review, testimonial, or staff-recognition message;

  • Subscribe to email marketing or SMS text messages;

  • Interact with our online store, social media content, embedded videos, maps, or other digital services; or

  • Otherwise communicate or conduct business with Hocking Hills Salt Cave.

All online Electronic Registration / Pre-Registration forms, consent documents, and employment applications are powered and hosted through Jotform. Hocking Hills Salt Cave may also use Jotform for other occasional forms, questionnaires, surveys, acknowledgments, requests, or data-collection workflows.

Other website functions are provided by additional third-party platforms. These providers may collect and process information under their own privacy policies in addition to this Privacy Policy.

2. Information We Collect

The information we collect depends upon how an individual interacts with Hocking Hills Salt Cave and which forms or services the individual chooses to use.

A. Contact and Identifying Information

We may collect:

  • First and last name;

  • Mailing or billing address;

C. Account, Membership, and Loyalty Information

If an individual creates or uses an account, membership, subscription, package, or loyalty profile, we may collect:

  • Membership, subscription, package, or loyalty status;

When a purchase or payment is made, payment information may be processed through Acuity Scheduling, Squarespace, Square, Stripe, PayPal, Squarespace Payments, or another payment provider identified during the transaction.

Hocking Hills Salt Cave may receive limited transaction information, including:

  • Name and billing contact information;

  • Payment status;

  • Transaction date and amount;

  • Payment method type;

  • Transaction or confirmation number;

  • The last digits of a payment card; and

  • Information necessary to process a refund, cancellation fee, recurring membership payment, or other authorized transaction.

Complete payment-card information is generally collected and processed directly by the applicable payment provider. Those providers handle payment information according to their own privacy notices and security practices.

E. Communications and Customer-Service Information

We may retain information submitted through:

  • Contact and inquiry forms;

  • Email;

  • Telephone calls;

  • SMS text messages;

  • Social media;

  • Customer-service requests;

  • Reviews or testimonials;

  • Staff-recognition forms;

  • Jotform-powered forms; and

Information may be processed by companies that provide website hosting, forms, scheduling, communications, analytics, payment processing, storage, security, and other operational services.

  • Jotform, for all online Electronic Registration / Pre-Registration forms, consent documents, employment applications, and other occasional forms, questionnaires, surveys, acknowledgments, requests, and data-collection workflows;

  • Acuity Scheduling and Squarespace, for appointments, customer scheduling, memberships, appointment notifications, and related services;

  • Square, Stripe, PayPal, and Squarespace Payments, as applicable, for payment and transaction processing;

  • Google Analytics, for website measurement and analytics;

  • Textedly, for the administration and delivery of SMS text messages; and

  • ReachMail, for email subscription management and email delivery.

These companies may process information under service agreements with Hocking Hills Salt Cave and may also have independent legal obligations or privacy practices. Individuals should review the applicable provider’s privacy notice for additional information.

B. Professional and Operational Support

We may disclose information to accountants, attorneys, insurers, consultants, information-technology providers, website administrators, hiring personnel, and other professionals who assist with legitimate business operations and are expected to protect the information they receive.

Hocking Hills Salt Cave does not sell or rent personal information.

We do not sell mobile numbers, email addresses, appointment information, Electronic Registration / Pre-Registration information, consent documents, employment applications, Jotform submissions, account information, or customer lists to third parties for their own marketing purposes.

Hocking Hills Salt Cave does not currently share personal information for targeted or cross-context behavioral advertising.

Disclosing information to a provider that performs form hosting, scheduling, website hosting, analytics, payment processing, email delivery, or SMS delivery on our behalf is not treated by us as selling a customer list.

7. SMS Text Messaging

Participation in the Hocking Hills Salt Cave SMS program is optional. Consent to receive marketing text messages is not a condition of purchasing goods or services.

Messages may include promotions, special offers, operational updates, or other information about Hocking Hills Salt Cave. Message frequency may vary. Message and data rates may apply.

Recipients may:

  • Reply STOP to cancel SMS messages;

  • Reply HELP for assistance; or

  • Contact Hocking Hills Salt Cave using the information at the end of this Policy.

No mobile information will be shared with third parties or affiliates for their marketing or promotional purposes. All categories described in this Privacy Policy exclude text-messaging originator opt-in data and consent; this information will not be shared with third parties except as necessary to provide the messaging service or as required by law.

Textedly and participating telecommunications providers may process mobile numbers, consent records, and message information as necessary to administer and deliver the SMS program. Textedly’s practices are described in the Textedly Privacy Policy.

Opting out of marketing SMS messages does not prevent Hocking Hills Salt Cave from sending an individually requested response or another nonmarketing communication when legally permitted.

8. Email Communications

Hocking Hills Salt Cave may use ReachMail to manage email subscriptions and deliver email marketing.

Recipients may unsubscribe from marketing emails by selecting the unsubscribe link contained in an email or by contacting us. We may retain an email address on a suppression list to ensure the individual’s opt-out preference continues to be honored.

Unsubscribing from marketing email does not prevent necessary transactional or relationship messages, including appointment confirmations, reminders, receipts, account notices, membership notices, policy updates, or direct responses to an inquiry.

9. Jotform Forms and Documents

All Hocking Hills Salt Cave online Electronic Registration / Pre-Registration forms, consent documents, and employment applications are powered and hosted through Jotform.

Jotform may also be used periodically for other forms, surveys, questionnaires, registrations, acknowledgments, requests, or administrative purposes.

When an individual submits a Jotform-powered form or document:

  • The information is transmitted to and processed through Jotform;

  • Hocking Hills Salt Cave receives or accesses the submitted information;

  • Jotform may collect technical and usage information associated with the submission;

  • The information may be stored within Jotform’s systems or connected services;

  • The submission may include an electronic signature, acknowledgment, consent selection, or date-and-time record; and

  • The information may be downloaded, exported, reviewed, retained, or deleted by authorized Hocking Hills Salt Cave personnel.

Jotform’s collection, storage, security, and processing practices are governed by the Jotform Privacy Policy.

Individuals should review the notice, questions, requested fields, and consent language displayed on a form before submitting or signing it.

Our appointment, membership, and payment services may connect visitors to external pages or embedded services operated by Acuity Scheduling, Squarespace, Square, Stripe, or PayPal.

Hocking Hills Salt Cave does not control every independent use of information by these providers. However, we seek to use established providers for specific operational purposes and limit our disclosures to information reasonably necessary to provide the requested service.

11. Embedded Content and External Websites

Our website may contain links to or embedded content from Google Maps, video platforms, social media networks, our online store, Jotform, scheduling platforms, review platforms, and other external services.

These third parties may collect information when an individual views, selects, submits, signs, or interacts with their content, even if the content appears within a Hocking Hills Salt Cave webpage. Their collection and use of information are governed by their own privacy policies.

A link to another website does not mean Hocking Hills Salt Cave controls or endorses that website’s privacy or security practices.

Hocking Hills Salt Cave uses reasonable administrative, technical, and physical safeguards intended to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

Access to Electronic Registration / Pre-Registration forms, consent documents, employment applications, and other form submissions is intended to be limited to personnel who reasonably need the information for authorized business purposes.

No website, form platform, network, electronic transmission, or storage system can be guaranteed to be completely secure. Individuals should use caution when transmitting sensitive information electronically and should use unique, secure account credentials.

To protect customer and applicant information, we may request information reasonably necessary to verify the identity and authority of the person submitting a request.

We may deny or limit a request when permitted or required by law, including when information must be retained for legal, security, fraud-prevention, transaction, employment, consent-documentation, insurance, or recordkeeping purposes.

When appropriate, Hocking Hills Salt Cave may need to communicate with Jotform or another provider to complete a verified access, correction, or deletion request.

15. Children’s Privacy

The Hocking Hills Salt Cave website is intended for a general audience and is not directed to children under 13.

Children may participate in certain Hocking Hills Salt Cave services when permitted by our service policies and accompanied or authorized by a responsible adult. A parent or legal guardian may schedule an appointment and submit necessary Electronic Registration / Pre-Registration information, consent documents, waivers, or acknowledgments on behalf of a minor.

Children under 13 should not independently:

  • Create a website or loyalty account;

  • Submit or sign a Jotform-powered Electronic Registration / Pre-Registration form or consent document;

  • Submit a Wix, Acuity, or Jotform form;

  • Submit a contact or registration request;

  • Enroll in email or SMS marketing;

  • Make an online purchase; or

  • Provide personal information through the website.

A parent or legal guardian should submit and sign any required online information or consent documents for a child under 13.

If we learn that personal information was submitted directly by a child under 13 without appropriate parental or guardian involvement, we will take reasonable steps to delete the information unless retaining it is required by law or necessary to protect the child’s safety.

A parent or guardian who believes a child submitted personal information without permission should contact us at info@hhserenitysaltcave.com.

Individuals between 13 and 17 should use the website and submit information only with the knowledge and permission of a parent or legal guardian.

16. Visitors Outside Ohio

Hocking Hills Salt Cave is located in Ohio and primarily provides services to Ohio residents and visitors traveling to the Hocking Hills region.

Information may be stored or processed in other states or countries where Jotform, Wix, Acuity Scheduling, payment processors, communications providers, or other service providers operate. Privacy and data-protection laws in those locations may differ from the laws in an individual’s home jurisdiction.

17. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our services, forms, technology, vendors, legal obligations, or information practices.

The revised version will be posted with an updated “Last Updated” date. When appropriate, we may provide additional notice through the website, email, account notification, or another reasonable method.
